Terms & Conditions

(Unincorporated Association – UK)

1. About the Association
The Association des Alsaciens de Londres & UK (“the Association”) is a voluntary, unincorporated, not for profit organisation run entirely by volunteers. Membership fees support community activities, cultural events, and administrative costs.
The Association has no legal personality. All activities are carried out collectively by the Committee on behalf of the Association.

2. Eligibility for Membership
2.1 Membership is open to individuals, families, businesses, and organisations who support the aims of the Association.
2.2 The Association reserves the right to refuse any application without obligation to provide a reason.
2.3 Members must be at least 18 years old to register; parents or guardians may register children as part of a family membership.

3. Membership Categories
3.1 Personal Membership
For individuals and families wishing to participate in community activities and support the Association.
3.2 Professional Membership
For businesses, independent professionals, and organisations wishing to support the Association and receive advertising or promotional visibility.

4. Membership Term & Renewal
•    Membership runs for 12 months from the date of payment.
•    Renewal is not automatic; members will be invited to renew annually.
•    Membership fees are non-refundable except as provided under Section 15 (Cooling Off, Cancellations & Refunds).
•    Membership is valid only once full payment has been received.

5. Payment
•    Payments may be made by the methods communicated by the Association.
•    The Association may suspend or cancel membership if payment is not received or if payment is reversed or disputed.

SECTION A — PERSONAL MEMBERSHIP


6. Benefits
Personal Members may receive:
•    Access to Association events (some may require additional fees).
•    Priority booking for limited capacity activities.
•    Access to newsletters, updates, and community information.
•    Voting rights at the Annual General Meeting (subject to the Constitution).
Benefits are indicative only and may vary depending on volunteer capacity, venue availability, and operational constraints.

7. Member Responsibilities
Personal Members agree to:
•    Behave respectfully at all Association events.
•    Follow instructions from volunteers and event organisers.
•    Supervise their children at all times.
•    Not use the Association’s name or logo for personal promotion.
•    Respect safeguarding expectations, including appropriate behaviour around children and vulnerable persons.

SECTION B — PROFESSIONAL MEMBERSHIP


8. Additional Benefits for Professional Members
Professional Members may receive promotional visibility, which may include:
•    Advertising space in the Association’s magazine, newsletter, or website.
•    Visibility at events (e.g., banners, flyers, sponsor mentions).
•    Listing in the Association’s professional directory (if applicable).
Exact benefits will be communicated at the time of subscription and may vary depending on volunteer capacity.

9. Advertising Content & Deadlines
Professional Members agree to:
•    Provide advertising materials by the deadlines communicated.
•    Ensure all content is accurate, lawful, and appropriate for a family-friendly audience.
•    Provide artwork in the required format and quality.
The Association may refuse or request changes to any advert that:
•    is inappropriate, discriminatory, or misleading,
•    infringes copyright,
•    conflicts with the Association’s values.
Failure to submit materials on time may result in the advert not being published, without refund.

10. No Endorsement
Professional Membership does not imply endorsement of the member’s business, services, or products. Members may not use the Association’s name, logo, or imagery without written permission.

11. Variation or Cancellation of Advertising Benefits
As a volunteer-run organisation, the Association may:
•    modify advertising formats,
•    change publication dates,
•    reduce or cancel promotional opportunities (e.g., if an event is cancelled).
Where possible, an alternative may be offered. The Association is not liable for business losses or compensation.

GENERAL TERMS (APPLICABLE TO ALL MEMBERS)


12. Conduct
Members must:
•    Treat volunteers and other members with respect.
•    Avoid behaviour that is disruptive, discriminatory, or harmful.
•    Follow the Association’s Constitution and event rules.

13. Suspension or Termination of Membership
13.1 The Association may suspend or terminate membership if a member:

•    breaches these Terms & Conditions,
•    behaves in a manner that endangers others or disrupts events,
•    misuses the Association’s name or resources,
•    engages in abusive or inappropriate behaviour toward volunteers or members.
13.2 Process:
•    The member will receive written notice of the issue.
•    The member may submit a written response within 7 days.
•    The Committee will review the matter collectively and issue a final decision.
13.3 No refund will be issued for suspended or terminated memberships.

14. Data Protection (GDPR)
The Association will:
•    collect only the personal data necessary for membership administration, communication, and event management;
•    store data securely;
•    never sell or share data with third parties;
•    delete data when no longer required.
Members may request access, correction, or deletion of their data at any time.

15. Cooling Off, Cancellations & Refunds
15.1 Cooling Off Period (New Members)

•    New members have a 14-day cooling-off period from the date of membership confirmation.
•    Members may cancel during this period without giving a reason.
•    If no member-only benefits have been used, a full refund will be issued.
•    If benefits have been accessed, the Committee may deduct a reasonable amount to cover their value.

15.2 Cancellations After the Cooling Off Period
After the 14 day period:
•    Membership fees are non-refundable.
•    Members may resign at any time, but no refund (full or partial) will be issued.

15.3 Event Bookings & Paid Activities
•    A 7-day cancellation window applies for a full refund.
•    Cancellations made less than 7 days before an event are non-refundable, unless the Committee decides otherwise in exceptional circumstances.
•    If the Association cancels an event, a full refund will be issued.

15.4 Returns of Physical Items
If the Association sells merchandise:
•    Items may be returned within 14 days if unused and in resalable condition.
•    Custom, personalised, or perishable items are non returnable.
•    Refunds are issued once the item is received and inspected.

15.5 Refund Process
•    Refunds are issued to the original payment method.
•    Processing may take up to 14 days after Committee approval.
•    Proof of purchase or identity may be requested.

15.6 Dispute Resolution
•    All refund or cancellation requests must be submitted in writing to the Committee.
•    The Committee will respond within 14 days.
•    Committee decisions are final.

16. Liability & Volunteer Protection
•    The Association is run by volunteers and provides services on a best effort basis.
•    The Association is not liable for loss, damage, or injury arising from participation in events or use of membership benefits, except where required by law.
•    Committee Members and volunteers act on behalf of the Association and cannot be held personally liable for decisions or actions taken in good faith.
•    Professional Members acknowledge that advertising visibility is not guaranteed to generate business results.

17. Force Majeure
The Association is not liable for cancellations, changes, or reduced services caused by circumstances beyond its control, including but not limited to: weather, venue issues, illness, strikes, transport disruption, or volunteer unavailability.

18. Communication
Official communications will be sent by email or other channels notified by the Association.
Members are responsible for keeping their contact details up to date.

19. Amendments
The Association may update these Terms & Conditions from time to time. Members will be notified of significant changes.

20. Acceptance of Terms
By paying the membership fee, the member confirms acceptance of these Terms & Conditions.
